1. Data controller

2. Data we collect

Through the contact form, we may receive your name, email address, telephone number, company name, project type and scale, selected services, indicative schedule, budget and information entered in the project description. The server may also record technical connection logs, including an IP address, request date, browser type and requested address.

3. Purposes and legal bases

• responding to an enquiry, preparing a quotation and taking steps before entering into a contract — Article 6(1)(b) GDPR;
• managing correspondence, protecting the website and establishing, pursuing or defending legal claims — the controller’s legitimate interests under Article 6(1)(f) GDPR;
• meeting tax, accounting or other legal obligations if cooperation begins — Article 6(1)(c) GDPR.

4. Voluntary provision of data

Providing data is voluntary. Your name, email address, project type, project description and acknowledgement that you have read this policy are required to submit and handle the enquiry. The remaining fields are optional but can help us prepare a response or quotation.

5. Recipients

Data may be entrusted to entities supporting the controller, in particular hosting and email providers, IT support providers and — where required for a contract — accounting or legal service providers. Data may be disclosed to public authorities only where required by law. Processors act under contracts and the controller’s instructions.

6. Retention

Enquiry data is retained while correspondence and quotation work continue and afterwards for the period needed to document their course or protect against potential claims. If a contract is entered into, data may be retained during the cooperation and for periods required by tax and accounting rules and applicable limitation periods. Technical server logs are retained for the period set by the hosting provider and no longer than required for website security and diagnostics.

7. Your rights

You may request access to, correction or erasure of your data and restriction of processing and, where provided by law, data portability. Where processing is based on legitimate interests, you may object to it.

Send requests to kontakt@sonkedesign.com. If you believe that your data is processed unlawfully, you may lodge a complaint with the President of the Polish Personal Data Protection Office.

8. Automated decisions and international transfers

Contact-form data is not used for automated decision-making or profiling. The controller does not intend to transfer form data outside the European Economic Area unless this becomes necessary to use a service provider that offers safeguards required by the GDPR.

9. Cookies and technical logs

The website currently uses no analytics or advertising tools. It may use only technical session data required to process the form securely and standard server logs. Fonts are stored on the website server, so displaying them does not require a connection to Google Fonts. If analytics or marketing tools are introduced in the future, this policy will be updated and a consent mechanism will be implemented wherever required.

10. Facebook and Instagram

The website contains standard links to Sonke Design profiles on Facebook and Instagram. Viewing the Sonke Design website itself does not activate social media plug-ins. After clicking a link, you visit an external service whose operator determines its own data-processing rules. Please refer to the privacy policy of the relevant service.

11. Security and policy updates

The controller applies organisational and technical measures appropriate to the nature of the data processed. This policy may be updated if website functions, service providers or legal requirements change. The current version is always published at this address.
